Privacy Policy

In accordance with the Regulation (EU) 2018/1725 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies, and on the free movement of such data (Regulation), the AANChOR web portal collects your personal information only to the extent necessary to fulfil a precise purpose related to our tasks. This document describes the privacy policy that applies to all data gathered and processed through the AANChOR web portal.

Why do we collect your personal data?

In the scope of the AANChOR project, WP9 will dedicate to communication and dissemination activities with the aim to produce a consistent and targeted communication strategy to the All Atlantic Ocean initiative. As part of this plan, the AANChOR portal is expected to be a powerful communication tool, being a central electronic platform for the All Atlantic Ocean initiative communications in the scope of the AANChOR project as well as all other relevant EU Atlantic projects. It aims to create a strong visual identity in support of a continuous engagement with the stakeholders of the Atlantic Community. The portal will contain key information, news, events and outcomes, links to related information, regular newsletters, a promotional video and a special focus on social media posts.

The regular e-newsletter will compile projects’ progresses, research results & outcomes, events, articles or news on general topics in the Atlantic Marine sphere, job offers, funding calls, interviews with relevant stakeholders, among others.

In this context, the distribution of the regular e-newsletters implies the existence of a project mailing list that enables an extensive dissemination to all relevant stakeholders. The collection of subscribers is ensured by a voluntary registration. The purpose of this processing operation is to collect the name and e-mail address necessary for the regular invitations through e-mail to access the electronic version of the newsletter.

Who is responsible for this process?

The controller is the EurOcean Foundation responsible for Communication and Dissemination activities of the AANChOR project. For organisational reasons, the role of the data controller is exercise by the EurOcean office team based in Portugal, in particular Mr Tiago GARCIA (tiago.garcia@eurocean.org) and/or Ms Cristina COSTA (cristina.costa@ eurocean.org).

What is the legal basis to collect your data?

This processing activity, based on Article 5(1)(a) of the Regulation, is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in AANChOR by the following legal acts:

  • European Commission granting of the CSA project: All AtlaNtic Cooperation for Ocean Research and Innovation, with the acronym AANChOR, selected under the BG-08-2018 call, Grant Agreement No. 818395 running from October 1st 2018 until September 30th 2022;
  • AANChOR Description of the Action;
  • AANChOR WP9 Workplan: “Communication and Dissemination”;
  • AANChOR WP9, Task 9.2 “Communication material and Electronic Communications”

Which personal data are collected?

The personal data collected through the online form includes the name, surname and e-mail address.

Who will have access to your personal data?

The data and information gathered through the online form is accessible to EurOcean Foundation which is the owner and processor of this data and only passes this data to third parties for strictly necessary purposes as described in section 8.

If you do not agree with the transfer of your personal data even under conditions described in section 8, please inform info@eurocean.org

How long do we keep your personal data?

The Controller only keeps the data for as long as follow-up actions linked to the above-mentioned purpose are necessary. All personal data will be deleted at the end of the AANChOR project.

Your right as a data subject

A data subject is the natural person for whom personal data is processed. Each person has the right to be informed on what personal data is being processed and to have access to his or her personal data.

As the data subject, you have the right to:

  • request a copy of your personal details at any time to check the accuracy of the information held;
  • and/or to correct or update this information;
  • You may also ask your personal information to be deleted completely (your right to be forgotten). Simply send us an e-mail at info@eurocean.org with your request, and we will act and reply you as soon as possible. Note that the GDPR stipulates that each request made must be logged.

Note that at all times, the data subject has the chance to personally unsubscribe from the AANChOR newsletter – an unsubscribe link is provided in every newsletter.

You have the right to object at any time to processing of your personal data. If you would like to apply your right to object, please contact us at info@eurocean.org.

Disclosures of personal information

We take care to allow access to personal information only to those who require such access to perform their tasks and duties, and to third parties who have a legitimate purpose for accessing it. Whenever we permit a third party to access personal information, we will implement appropriate measures to ensure the information is used in a manner consistent with this policy and that the security and confidentiality of the information is maintained.

Transfers to our members
We may share your personal information with AANChOR members in order to support us in a specific task or initiative.

Transfers to third party service providers
In accordance with applicable law, we may make certain personal information available to third parties who provide services to us, including data storage, shared services platform providers, IT developers and support providers and providers of hosting services in relation to our online services. Additionally third parties who provide support and advice including in relation to legal, financial / audit, management consultancy, insurance, health and safety, security and reporting issues, can also access personal data.

External websites

Our webportal and e-newsletter provide links to other websites. We do not control, and are not responsible for, the content or practices of these other websites. Our provision of such links does not constitute our endorsement of these other websites, their content, their owners, or their practices. This Privacy Policy does not apply to these other websites, which are subject to any privacy and other policies they may have.

Updates to the Privacy Policy

We will update our Privacy Statement whenever necessary. Unless, and until, you object in writing by contacting us at info@eurocean.org, all changes will apply to the existing information about you that the AANChOR project through EurOcean already holds, and the personal information collected from the effective date of the revised Privacy Statement. Your use of our portal following the effective date of any revision will constitute your acceptance of the terms of the updated Privacy Statement.
